JOB PURPOSE:

Supervising the public relations department along with its staff; also providing assistance in organizing and implementing the university’s activities and events for the purpose of developing a strong and positive public image.

Accountabilities:

  • Supervise the PR team and follow up on the work operations to ensure a smooth ongoing workflow and provide guidance when needed.
  • Plan and organize MIU special events and ceremonies such as welcome party, educational conferences and graduation ceremony.
  • Evaluate and approve PR related activities such as new events, new catering providers, and new food items.
  • Manage the PR Budget and document any expenses.
  • Handle the warehouse operations in terms of purchasing, receiving, evaluating, and storing orders such as the publications/printings/giveaways to verify their quality and quantity.
  • Coordinate the selection process of the prospective sponsors and food service providers with the Health and Safety Departments to ensure that they are meeting MIU health and safety standards.
  • Determine the trip participation fees according to MIU subsidization policy, in coordination with students Affairs and Activities committee; also confirm reservations and methods of payment with the travel agency in charge.
  • Attend students' clubs and activities meetings to discuss all issues related to their annual/semester plan.
  • Follow up on the execution of all technical requirements needed by the on-campus catering providers that enable them to operate efficiently.
  • Follow up the start-up phase and operations of the on-campus catering providers.
  • Handle all issues and tasks related to payment agreements.
  • Receive proposals from catering providers and evaluate them in order to choose the most convenient offer that meets the university standards.
  • Assure the proper setup of MIU booths in all events to match the university corporate image.
  • Identify Sponsorship opportunities and maintain rapport with businesses, individuals, and organizations for the purpose of supporting MIU events and activities.
  • Acquire and evaluate offers from hotels, air couriers, and other travel agencies for the purpose of providing the best service with the most convenient prices; also provide assistance in making the required arrangements in terms of hotel reservation, transportation, and sight-seeing tours.
  • Announce all trips and travel details along with the deadlines internally through the approved channels.
  • Advise all clubs, while following up and assuring the implementation of all clubs activities as per the university policies and procedures.
  • Provide support when needed to send materials collected to the Advertising Agency for first draft; highlight corrections required and resend it to for final draft.
