- Managing, organizing and running the general office administrative tasks including maintaining confidential files, records and databases and ensuring information is organized and readily available when needed.
- Receiving incoming calls, and providing assistance or redirecting inquires as necessary.
- Maintaining office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, evaluating new office products, placing and expediting orders.
- Arranging all administrative and logistical formalities in terms of organizing business trips (internal and external) for the office personnel including hotel reservations, tickets issuance , issuance/ renewal of visas, licenses, travel arrangements and other similar documents as well as assisting in logistical issues at the airport in coordination with the company’s PR staff..
- Supports the on-boarding process for new employees, ensuring they have the necessary information and equipments to start their roles smoothly.
- Maintains office petty cash and processes invoices, expense and payment reports.
- Prepares office budget by ensuring it is properly administered, monitored and controlled.
- Drafting and formulating correspondences, letters, documents and reports, as required, on general administrative or specialized tasks.
- Fully manages the MD's schedule by scheduling and organizing invitations to meetings with vendors, clients, senior level employees and distributing meeting agendas.
- Provides logistical and administrative support to the MD, and handles all his local and international travel arrangements.
- Serves as a point of contact between the MD and other Departments’ Managers and senior staff.
- Organizing programs and logistics related to high level and VIP visits to the MD.
- Any other assigned administrative and management tasks as assigned by the MD.
- Responsible for processing RFQs and Orders through the Supply Chain process to meet customer requirements.
- Works within multi-functional, product group focused, global supply chain teams actively participating to ensure they fulfill their roles/projects in compliance with Customer/Business requirements, policies and procedures.
- Responsible for actively participating in the development of supply chain processes.
- Responsible for the use of standard communication media to ensure customers are well informed of the order statuses.
- Responsible for prioritization of demand as a part of the Supply Chain team.
- Perform Contract Review on Purchase Orders received.
- Communicate with Customers throughout the life of the Order.
- Maintain data.
- Perform back up functions as required to maintain Supply Chain team continuity.
- Provide the Corporate Sales department with kits and Sims Stock in order to sell them.
- Receive payment statements and contracts from Corporate Sales Department.
- Forward Corporate Sales Cash statements to the finance department.
- Forward Corporate Sales contracts to the Customer care for activation.
- Follow up the SIMs activation procedure.
- Responsible of issuance of free lines and the company's new staff lines.
- Issues retail sales in both TABS & IFS Systems (Payment systems).
- Responsible of Sales store1 inventory.
- Place orders with Warehouse to provide company's products for sales store 1.
- Place orders for all regional CSPs and Warehouses.
- Monitor all regional Warehouses' SIMs and vouchers stock.
- Issue daily, weekly and monthly reports (Daily retail sales, Sales Store1 transactions, Regional transactions, free lines and staff lines reports)
- Perform Ad-Hoc duties as directed by management.
- Draft and respond to correspondences and e-mails.
- Maintain strictly confidential files & records.
- Follow up on Purchase Orders process.
- Update MRF (Material Requisition Form) pending files.
- Develop professional looking presentations, spreadsheets, charts & reports.
- Check and prepare the division expense reports.
- Organize internal & external division meetings.
- Collect and input data/documents into specialized systems.
- Assist in developing and following up the implementation of the Training plan of the division.
- Make the necessary logistical arrangements for the training courses to be conducted for the division's staff inside and outside the company.
- Cooperate and coordinate with other departments to enhance the flow of information.
- Respond to and direct internal and external requests for information and assistance.
- Handle all the division administrative duties.
