  • in charge of new hire onboarding process: prepare for employee onboarding (pre-employment screening (PES check); prepare offer letter; raise MyHR ticket to create new hire in the HR system (Hinext); conduct orientation training; announce the new employee on their 1st day, etc. For outsourced staffs, arrange health checkup and conduct orientation training for them, make sure the staff is created in Hinext as well.
  • responsible for employee offboarding process: collect resignation letter from employee; make sure that the employee is terminated in Hinext; collect Separation check list/ Exit interview/non-disclosure declaration form from employee on/before their last working day; issue Decision of Termination. For outsource staffs, coordinate with vendor to terminate employee in accordance with local laws.
  • manage employment contract: keep track of probationary period, labor contract term to prepare contract renewal in a timely manner in accordance with the local laws (raise MyHR ticket to GBS team to send reminder to Manager/ HRBPs, issue the new contract, file the duly signed/stamped documents, update new contract end date in Hinext). For outsource staffs, coordinate with vendor to renew labor contract on time as well.
  • handle MyHR service and support: Deliver HR Service support to the HR community, managers, and employees as requested via MyHR ticket. Administrate local ServiceNow tickets and ensure timely closure of tickets.
  • Data Entry & Documentation: Maintains a high level of data quality and accuracy in the systems. Provides on-demand reports related to the process when required.

1. HR Time Project Lead:

  • This includes project management of HR Time initiatives to fix and enhance system functionalities and HR Time processes Globally. (due to implementation process).

2. HR Time Governance:

  • Cooperation with HR Operations Leaders and internal stakeholders(Local SME & users of the time system).
  • Develop and manage strategic solutions for process.
  • Improvements; prepare global guidelines & instructions for HR Time process.
  • Work close to local Time SMEs in driving the initiatives/ enhancements.
  • Collaborate with HR leadership and key stakeholders in supporting time service delivery and sharing best practices.
  • Manage ADP Service eTime KPIs and act as HR Time Support & Escalations for leadership.

3. Risk & Compliance management relate to HR Time Process:

  • Act actively as Tier 3 for HR tickets resolution providing support to CSS for complex and major issues.

4. Incident management:

  • Logging tickets to ADP eTime.
  • Managing escalations.
  • Communicating to Local Time SMEs in case of general incident and interacting with Support Manager / Business Analyst.

5. Change Request management:

  • Supporting Local Time SME when raising new requirements; performing Impact analysis for HR processes.
  • Identifying overall needs (Local / Regional / Global).
  • Supporting Time SME in Demand process, supporting development and testing, and monitoring implementation.

6. User access:

  • Approvals of Super User accounts and managing the list of Authorized users (15), audit and controlling.

7. Minor configurations:

  • This approval of changes of lookup tables and updates of Public Holiday calendars.

8. Knowledge sharing:

  • Delivering training for new Time SMEs or when new features are released in ADP eTime.
  • Supporting and creation of standard and ad hoc reports and answering questions from Time SME.

9. Technical responsibilities/ Clocks:

  • Receiving and acting on error notifications generated from Demographic integrations, checking and ensuring HR Data & mapping correctness, approvals of access to SFTP folders.
