Roles And Responsibilities

Administrative Responsibilities:  

1. Perform duties related directly to all administrative aspects. 

2. Provide administrative support for the Manager including handling of information of a highly  important and confidential nature. 

3. Responsible for scheduling and setting up travel arrangements including Tickets and hotel reservations, meetings, speaking engagements and other appointments for the executives. 

4. Strong time management and organizational skills, and possess the ability to multi-task while  maintaining attention to detail. 

5. Preparing and formatting information for internal and external distribution including writing  letters and memos, compiling data for reports, creating computerized presentations, writing  reports, transcribing dictation, editing, proofreading and other information preparation duties. 

6. Ensuring there are no scheduling conflicts and making sure executives know where they need  to be and when. 

7. Overseeing the work of clerical and other administrative employees, as well as making sure  that everything is in place for the office to function smoothly.  

8. Manage the flow of information to members of the executive leadership team.  

9. Being able to maintain confidentiality and exercise discretion.

10. Familiar with Kuwaiti Labor Law. 

11. Track all paperwork for the command group and forward them for review and signature as  required. 

12. Shall work special projects as assigned. 

13. Performs other duties as assigned.


Secretarial Responsibilities

1. Screen phone calls, open and sort mails, and summarize reports and memos that are received  before passing the information to the reporting manager. 

2. Setting up and managing both electronic and paper filing systems, as well as taking steps to  maintain that the company is in compliance with all applicable record-keeping requirements. 

3. Strong organizational skills and the ability to work to deadlines. 

4. To receive and escort important guests.  

5. Arranging and coordinating personal and business schedule. 

6. Preparing presentations. 

7. Organizing meetings, and events/conferences, plus taking minutes. 

8. Translating documents from Arabic to English and vice versa. Preparing the press releases  about the company progress. 

9. Preparing the quarterly work progress presentation ( Audio visual ones - to be seen by Amiri  Diwan).


Financial Responsibilities 

1. Preparing Monthly reports ( Kuwait Stock Exchange Trading Reports – Activity Reports – Deposit Placed and Taken Report) 

2. Preparing researches as requested. 

3. Collect and disburse funds from the Finance department, and keep records of collections and  disbursements.
